英语函电的语气-恰当语气的特点


一封商业函电的语气反映了笔者对待读者的态度。如果函电中有一种亲切而充满合作之意的语气,它在建立令人满意的关系时就会起到很大作用,而这种关系在开展业务时十分重要。

    如果笔者想达到自己的目的,除了用简洁明了的语言提供一切必要的情况之外,还要采取适当的语气。笔者的语气必要既切合实际情况,又切合自己的目的。一封语气不当的函电会产生意想不到的不良效果。请参看下列例证。

    On the 6th Maarch last we ordered 100 cartons of socks. We stressed the importance of delivery by the 30th April at the latest. The socks have not yet been delivered nor has there been an acknowledgment of our order.

    Please look into the matter at once and let us know when you expect to fill the order.

    例文中使用的是一种命令式的语气,这种语气暗示了读者做错了事,这很难使读者配合。对这种不当的语气可以做如下的改进。

    On the 6th March last we placed with you an order for 100 cartons of socks,stressing the importance of delivery by the 30th April.

    We have not received the socks,nor have we received an acknowledgment of our order. Delay in receiving the socks is creating difficulties. Since the matter is urgent, we will appreciate your advising us when we many expect to receive the shipment.

    (1) 自然:如果笔者使用读者熟悉的词语,函电就会显得自然,这样的函电才能收到良好的效果。一般来讲,交谈式的语言在写业务函电时是最理想的,因为这显得很自然。简而言之,像说话那样写。

    比较:

    Its operational deficiencies were attributed by the agency to a lack of personnel resulting form budget limitations.

    The agency said that it could not do a good job because it did not have enough money to hire enough peple.

    (2) 友好:函电中对读者的问题表示关心,让读者感到函电中充满同情心,读后颇有裨益,觉得心中热乎乎。这样做十分重要。冷漠的语气可能会令人感到笔者对读者的利益漠不关心。请注意下列两句的区别。

    We are obliged to inform you that the completion of processing your application has been postponed until the end of next week.

    We are sorry to have kept you waiting, but it has taken us more time than expected to process your application. We will have it completed by next Friday.

    (3) 礼貌:写业务函电时务必注意礼貌。即使收到一封态度粗鲁、蛮不讲理的信时,也要以谅解的态度做出彬彬有礼的回答。提出批评,表示不赞同时一定要谨慎小心,让自己的语气充满关心和体谅,即使向对方提出责备时,也不要冒犯对方。

    比较:

    The store received your credit application form on time, but it was filled out incorrectly. As the form indicates, your signature should be written on the bottom of both pages, but you neglected to do this. You form is being returned to you for proper signing.

    Thank you for returning your credit application form so promptly. However, we do need your signature on both pages. Just sign on the second page at the bottom and return it, We will then be glad to consider your application.

    (4) 使用人称句:业务函电应尽量避免使用枯燥无味的无人称句。要让读者感到他正受到你本人的注意。

    下面两段,哪一段较好?请比较一下。

    Your contract is still in force.Our notice telling you it has lapsed was intended for another contract - owner. We are sorry for any inconvenience this error may have caused you.

    A notice was sent to the above address advising of a lapse of contract. However, this notice was intended for another contract - owner and should be disregarded.


接触外商如何正确地用英语对话


当你拿起话筒用英语打电话时,开头打招呼的第一个词便是Hello,Hello,不像中文中的“喂”可以连喊几声,挂电话打招呼时,只要说一次就够了。也可视情况说 Good morning (afternoon , evening)。

  习惯上,英语国家的人(特别是美国人)打电话一开始就自报姓名或自己的电话号码,甚至是工作单位或住址等等。如: “Hello ( Good morning ,…)、This is 2856123 ”(喂,你好,我这儿的电话号码是2856123。)或“ This is Marg’s phone or This is Mary speaking” (我是玛丽)。有的人在接电话时只回答Hello,而等待对方开始说话。但是这样做法必定地使对方提出“Is this 7856111?”(这是7856111电话吗?)或 “Is that Peter’s phone?”(这是彼得家吗?)这样的问题,势必导致双方在正式通话前花费不少时间与口舌。因此,不要只说Hello 而已,这一点与我们国内双方通话的情形相差甚远。

    如果你发现对方要找的是另一个,或拨错了号码,这时,你最好能重复一下你的电话号码,然后告诉对方  “Sorry you’ve dialed the wrong unmber ” (对不起,你拨错号了。)或简单回答:“Sorry wrong number,”不要一声不响地就挂断电话。同样,若是我们自己拨错了号码也该简单地向对方说:“Sorry ,(I’ve dialed) wrong number,”再挂断电话。

    用中文打电话或接电话时,可以问:“你是谁?”但用英语通话时,则千万不可以问:“Who are you?”问对方是哪一位时,可以用以下几种方式:

    Who’s that / who’s speaking , please? 请问你是谁?

    Whom an I speaking to ? 跟我通话的是谁?

    May I have your name ?我可以问你的名字吗?

    Is that you , … ? / Is … there, please?某某在吗?

     回答对方问话或自我介绍时,可用This is … It’s …speaking . It is (Mary) here / Hello , Mary here . This is 3132459 等等,不能用“I am ….”如果对方找的正是本人,可用“ Yes ,speaking ”即可。

    转告某人接电话时,可用“You’re wanted on the phone ”或 “Someone wants you on the phone (有人打电话找你)。也可说“There’s telephone call for you”(有你的电话)。

    如果此人就在身边时可以说“It’s for you ,  Tom .”或“For you Tom”(汤姆,找你的),若来电话时对方要找的人正在隔壁房间或在别处办事,你接了电话以后要过去叫他,请对方稍等一下时,可用Hold on (the time) please, Hold on a moment , please,  just a moment, please, Don’t hang uplease 等。如果来电话要找的人一时无法找到,应尽快回答对方,并最后询问对方是否愿意留下口信。这时可用 “May I take a message for you?” (我可以给你带个口信吗?)或者“Would you like to leave a message?”(你要留吗?)反之亦然,若是你打电话给某人,对方恰巧不在,你也可以要求接电话的人带个口信或留个便条,就说:“Could you take a message for me please ?”然后你可酌情简单地向接话者说: “Please tell him that I want to speak to him 。”(请转告他我有事要告诉他),或“Tell him that I called(告诉他我来过电话)也可说:“Will you please tell him to call me back later?”(请你告诉他回个电话给我,好吗?)

    当然,打电话也并非尽善尽美,也有其烦人之时。譬如,你给某人打去电话时,对方正忙得很。你最好礼貌地表示一下歉意,可以说:“I am sorry to make a phone call to you when you are very busy ”。(你现在正是很忙的时候,我却打电话给你,很对不起)。如果你有十分紧急的事需打电话给某人,又是清晨或半夜了,可以说: “I am sorry to have called you so early ,but……“(这么早打电话给你,对不起,但是……)。Sorry to have waked you wp.

1. At what time can we work out a deal?

我们什么时候洽谈生意?

2. If the price is higher than that, we’d rather call the whole deal off.

如果价格比这还高,我们宁愿放弃这桩生意。

3. It’s absolutely out of the question for us to reduce our price to your level.

我们不可能将价格降到你方所要求的那样低。

4. We can’t accept your offer unless the price is reduced by 5%.

除非你们减价5%,否则我们无法接受报盘。

5. We make a counter-offer to you of $150 per metric ton F.O.B. London.

我们还价为每公吨伦敦离岸价150美元。

6. Your counteroffer is too low and we can’t accept it.

你方还价太低了,我方无法接受。

7. I’m afraid I don’t find your price competitive at all.

我看你们的报价毫无任何竞争性。

8. If you insist on your price and refuse to make any concession, there will be not much point in further discussion.

如果你方坚持自己的价格,不作让步,我们没有必要再谈下去了。

9. Let’s have your counteroffer.

请还个价。

10. Still, I think it unwise for either of us to insist on his own price.

不过,我认为彼此都坚持自己的价格是不明智的。

11. We think your offer is too high, which is difficult for us to accept.

我们认为你方的报价太高了,我方难以接受。

12. Our offer is reasonable and realistic. It comes in line with the prevailing market.

Paul: Just fine. I looked over the catalog you gave me this morning, and I'd like to discuss prices on your computer speakers.

Leslie: Very good. Here is our price list.

Paul: Let me see…. I see that your listed price for the K-two-one model is ten US dollars. Do you offer quantity discounts?

Paul: I'd like to go ahead and place an order for six hundred units.
