Executive Assistant
Administrative Support
Helping to prepare the Executive Director Team for the upcoming week’s meetings and commitments and reviewing action items.
General day-to-day administration support to the Executive Director Team.
Manage the Executive Director Team’s calendar to maximize time efficiency, ensuring presence at critical meetings and briefings on engagements as required.
Provide confidential administrative support with a high level of urgency and accuracy to senior executives and Executive Director Team.
Manage the flow of documents requiring execution/approval – legal documents, leases, cheques, requisitions.
Develop and maintain filing systems to ensure the complete and accurate storage of information, compliance with organizational policies and legal requirements.
Sending required documents to each department using Executive Directors’ email.
Manage basic IT needs for the company.
Maintain all office technology and organize repairs or assistance when needed.
Email Management
Calendar Management and Scheduling.
Internal team meetings, event planning, and miscellaneous events as they arise.
Coordinating book and podcast recordings and video shoots, marketing webinars, offsite meetings, and other events as needed.
Organizing Meetings
Coordinate meetings and prepare/provide the information required such as materials, briefing notes or agendas.
Taking meeting minutes for each meeting.
Review, summarize and prepare briefing notes from documents and reports, highlighting the issues of significance and where appropriate, with suggested recommendations for action.
Team Success Podcast Coordination
Scheduling author interviews and regular content recordings.
Liaising cross-functionally with different teams to ensure the successful completion of each project.
Trello system management.
Event Planning and Project Management
Coordinating and supporting webinars, live coaching, speeches, and Zoom meetings.
Creating and maintaining a system for tracking project/event results.
Ensuring all of the department head/team leader’s projects are completed by deadlines.
Internal Communications
Manage all incoming communications from internal or external contacts (verbal and written) for the Executive Director Team to determine the urgency, level of attention required and initiate preliminary action
Client Communications
Setting up and confirming appointments, entering notes into the client file in Salesforce, and assisting the team leader with any call follow-up.
Corresponding with clients and contacts by telephone, email, and Zoom.
Occasionally participating in client meetings and events.
